Vaccines.gov (powered by VaccineFinder) is a website that helps millions of people find vaccines near them.
To have your location and vaccine availability show on vaccines.gov, you (or your jurisdiction if they are managing your vaccines.gov information on your behalf) must have a current COVID Locating Health Provider Portal account.

This documentation is for providers who are COVID-19 vaccine administrators and have received a registration email from Vaccines.gov, powered by VaccineFinder, inviting them to set up a COVID Locating Health Provider Portal account.
Providers refers to COVID-19 vaccine administrators that report COVID-19 vaccine stock status data on behalf of one or more locations.
Jurisdictions refers to the 50 states, 8 territories, and 4 major metropolitan areas that enroll COVID-19 providers. Some jurisdictions report on behalf of all Bridge Access Program providers in their jurisdiction.
The sections below provide instructions for Vaccines.gov registration and reporting.

Updating public display information is required if you turn on your location for public display, making it searchable on Vaccines.gov for COVID-19 or flu vaccines.
In this option the Provider Portal walks you through the various location details. It's typically used by providers that report for a small number of locations.
This option uses the Provider Portal to provide a spreadsheet that can be downloaded, filled out, then uploaded. It's typically used by providers and jurisdictions that report for a large number of locations.
This option is only for jurisdictions that have been approved for this method. It allows them to generate their own custom inventory spreadsheet to upload instead of using the template.

Providers who are COVID-19 vaccine administrators and have received a registration email from Vaccines.gov inviting them to set up a COVID Locating Health Provider Portal (Provider Portal) account. COVID-19 vaccine providers can add flu vaccine stock information for their location after they complete the initial account set up.
As a COVID-19 vaccine provider, you should receive an email from VaccineFinder@auth.castlighthealth.com inviting you to create a COVID Locating Health Provider Portal account. This invitation will expire after 7 days.
Check your email spam, junk folder, or search your inbox for emails from VaccineFinder@auth.castlighthealth.com.
Check if your link has expired. Registration links older than 7 days, will expire. You will receive reminder emails with new links every 5 days.

You have two options for reporting. This choice determines how many accounts you will be able to create for your organization.
The Your Locations
box will show location(s) currently listed on Vaccines.gov for your organization.
Option 1: Report on behalf of all locations listed on your Provider Setup
page
This option limits you to one account.
Option 2: Each location is responsible for reporting their own information
This option allows you to have 2 user accounts per location. Registration emails will be sent to the email addresses listed for primary and backup location contact from Section B of the Provider Agreement. You and the two additional contacts will have accounts.
If you select option 2, you will see the following screen confirming the additional accounts that will be sent registration emails.
Once you have selected your vaccines and your reporting designation, save your preferences by selecting the Save
button.
When you have completed provider setup you will be brought to https://covid.locating.health/login to login with your username and password. Visit Login instructions if you need help with this step. You will also receive the confirmation email below.

Providers and jurisdictions that have already set up COVID-19 vaccines that will be available at your location(s).
Providers and jurisdictions are ready to log COVID-19 vaccines and want to log data using a spreadsheet generated their own inventory spreadsheet externally instead of using the template supplied in the COVID Locating Health portal.
Jurisdictions reporting inventory through their Immunization Information System (IIS) for all provider locations in their jurisdiction or pharmacies reporting for all locations in their pharmacy chain may generate a file directly from an external tracking system and then upload into the COVID Locating Health portal.

You are ready to report COVID-19 vaccine inventory and want to log data manually.
As a provider administering COVID-19 vaccines, you are required to update your inventory monthly.
If a location is set to display to the public, it is extra important to keep your inventory up to date so it continues to show correctly on Vaccines.gov!
If your inventory hasn't been updated in over 29 days, your location will no longer display in search results on Vaccines.gov.

All your locations will be listed on the screen along with the most recently entered inventory for each location.
Once you have selected edit, the table will become editable. You can also cancel at any time from this screen, and no changes will be saved.
Please note that the "Date Submitted" column will automatically update when a change is submitted for any of the fields in the table above (Doses, In Stock, Supply Level). There are three different statuses that may display in the Date Submitted column:
"Now" status in purple indicates that a change was just submitted
Date status in green indicates that inventory has been updated within 29 days and is in compliance
Date status in red followed by "!" indicates that inventory has not been updated in 29 days or more and is out of compliance
You will receive a success message letting you know your inventory has been recorded.
Repeat if needed for multiple locations.
The most recently reported inventory is sent to the CDC every day at 5:00 am Eastern. The new stock levels will be visible to the public on Vaccines.gov site within 5 hours.

every two weeks so the public using Vaccines.gov can easily find a flu vaccine near them. If you haven't updated your flu vaccine stock status in over two weeks, your stock status on Vaccines.gov will change from "in stock" to "call to confirm" and your location will not appear in searches.

toggle for each location or see instructions for selecting locations to display to the public. If a location is not set to display to the public, you will not be able to edit the stock status for any flu vaccine.

Instead of using official NDC vaccine names, flu vaccines are grouped into four categories, listed as Vaccine Options, on Vaccines.gov to make it easier for the public to select and find flu vaccines. If any vaccine in a searchable category is in stock at a location, that category will show as in stock on Vaccines.gov.
When searching for flu vaccines on Vaccines.gov, the options display as:

Pharmacies reporting for all locations via sFTP can report their inventory and public display information in a single file.

The file name must include the date of the file (MM-DD-YYYY).
When reporting flu and COVID-19 inventory separately, please append "FLU" to your flu file name (e.g., 01-01-2022-flu.csv).
When reporting inventory for banners separately, please append a suffix to each file indicating which banner(s) are being reported (e.g., 01-01-2022-ACME.csv).
Vaccines.gov loads sFTP files once per day at 4:30am EST. Any files uploaded after that time will be processed the following day.
If Vaccines.gov has not received a file in the sFTP for 2 consecutive days, we will reach out to the primary contact to troubleshoot. After 29 days, locations will no longer appear in public searches for COVID-19 vaccine.
If you need to add a new column to your file, please add the column to the end of current file headers.
Quantity data are only required for COVID-19 NDCs, if you are reporting flu inventory you only need to indicate stock values for the public.
Accurate inventory quantities are no longer required but, updating Quantity to 0 (or any positive number) and indicating vaccines are In Stock by entering "True" are required for vaccines to be visible on vaccines.gov.
If possible, include all vaccine NDCs in a single file (COVID-19 and flu). Currently, Vaccines.gov does not display antiviral mediations, routine or travel immunizations. You may however include these in your file.
In stock values will take precedence over Quantity values for display on Vaccines.gov. This means if you report 0 doses for an NDC but In Stock = True, that NDC will show as In Stock on Vaccines.gov
Provider Notes field will display on the provider details page and should contain any information a user should have before attempting to get a vaccine at the location.
Provider Notes should contain both COVID-19 and flu information in the same field.
Common topics addressed in Provider Notes include:
NDC or vaccine appointment and walk-in information, for example, “Appointments are required for all individuals under 6 years of age.”
Translation or other language services offered at the location.
Accessibility information for the location including parking availability or wheelchair accessibility.

every two weeks so the public using Vaccines.gov can easily find a flu vaccine near them. If you haven't updated your flu vaccine stock status in over two weeks, your stock status on on Vaccines.gov will change from "in stock" to "call to confirm" and your location will not appear in searches.

Once the location is set to display, the toggle will move to the right and turn blue. If you would like to switch all locations to display, you can toggle the button at the top of the page above all the locations.
If you want to display most of your locations, but not all, you can toggle all to display to the public and then toggle off the locations you wish not to display.
